Implementation of a central reservation system for advanced room booking at the university hospital
The University Hospital Leuven (UZ Leuven) is Belgium’s largest university hospital. It consists of three campuses and has around 2,000 beds and nearly 10,000 employees providing customized care. By investing in medical innovation and research the hospital invests in tomorrow’s healthcare.
UZ Leuven has a clear goal to be an attractive workplace for its employees. A large part of the hospital’s meeting rooms is equipped with digital room booking displays managed with the booking software system Resource Central.
UZ Leuven was looking for a central reservation system to be able to find and book rooms based on criteria such as location, size, facilities, and more, in combination with ordering catering & other services.
UZ Leuven wanted to immediately add catering or other services from the same tool while booking a room.
The tool also needed to be fully integrated with Microsoft Exchange so that users could access these additional features directly from Outlook.
Add-On Products’ reseller partner IKANDA helped UZ Leuven to implement the meeting room booking system Resource Central, and 80 meeting rooms in the hospital in Leuven received their own digital conference room signs.
With the customizable Resource Central add-on, UZ Leuven can now order catering, choose multiple delivery times, or enter the time of delivery. Also, they can adjust the number of people if this differs from the number of people in the Outlook invitation. Moreover, the employees can choose table setups or book extra services, such as ordering Wi-Fi codes or parking spaces.
With Resource Central in place, service providers receive the order forms automatically and in real-time and they can create customized reports to make their workday easier.
From the digital signs, all information concerning the meetings, booked from Microsoft 365 or Exchange, is displayed. Meetings can also be booked, extended, or canceled directly on the screen.
